Encore Master Builder (“Encore Homes”, “we”, “us”, or “our”) values the privacy of our trade partners, subcontractors, and clients. This policy explains how we collect, use, and protect information provided through the EncoreHouse booking application.

  • Company name and trade contact details (for booking purposes)
  • Names of guests staying at our Hinton property
  • Contact phone numbers and email addresses
  • Booking dates and requested number of rooms
  • Associated Encore job numbers
  • Optional special instructions

2. How We Use Your Information

Information submitted is used for:

  • Managing room bookings and scheduling at our Hinton property
  • Communicating confirmations, changes, or cancellations
  • Ensuring health, safety, and emergency contact readiness
  • Internal project tracking and job number reconciliation

3. Email Communication

Booking confirmations and related communications are sent to the email address provided. Replies are directed to info@encorehomes.ca, our central administration address. We do not use booking emails for marketing purposes.

4. Data Storage & Security

Booking information is stored securely in our internal systems and Microsoft 365 environment. We use access controls, encryption, and monitoring to safeguard your data. Only authorized Encore staff have access.

5. Data Retention

We retain booking records for a period consistent with our accounting and warranty obligations. Personal contact details are retained only as long as necessary to manage bookings.

6. Sharing of Information

Encore does not sell or rent subcontractor or booking data. Information may be shared internally with project managers and site supervisors as necessary to coordinate work.

7. Your Rights

You may request access, correction, or deletion of your booking data by contacting us at info@encorehomes.ca.
